Case study

Trade Mar for Marine Services. Port and marine services across several sites in Egypt.

Everything on this page describes systems that exist and are in use. No figures are published until each one traces to a source record.

The situation

One shift, written five times.

Daily operations ran across several port sites. Field records were produced on paper in Arabic at each site and consolidated by hand into monthly workbooks for payroll and client billing. Accounting sat in an ERP that had been set up but not shaped around the operation.

A driver's shift or a vehicle's day was written on site, typed into a sheet, checked against another sheet and typed again into the books. Each copy was a chance for the numbers to drift.

What Sahhely did.

1. Mapped

One review step before anything reaches the books

We mapped the field-to-payroll process across every site and defined a single review step. Nothing enters the monthly books that a person has not approved.

2. Built

The extraction and review flow

Daily field sheets, photographed on site, become structured rows. A person checks and approves them in one screen. The hero of this page shows it running.

InputArabic paper sheets, one per site per day, as photos or scans.

OutputChecked rows per vehicle and per driver, with an audit trail of who approved what.

ControlDuplicates flagged, unreadable fields sent back, nothing approved silently.

3. Built

The monthly workbook process

Payroll and vehicle sheets are filled from approved rows. The company's own formulas, hidden sheets and report pages stay exactly as they were, so finance keeps the workbook it already trusts.

4. Built

The billing and reconciliation system

Customer invoices and vendor payments are issued from the variables the operation produces: approved shifts, vehicle days, contract rates, deliveries. Bank transfers in and out are reconciled against them, and everything is posted to Odoo through a live integration.

5. Built

Tender costing models

Every bid for port and manpower work is costed the same way: the man-shift built up from wages, insurance, transport, supervision and overhead, a margin applied on top, and the result checked against a floor before it goes out. Used in live bids.

6. Reshaped

The ERP setup

Assessed and reconfigured around how the business actually operates, and connected to the billing system so the accounts follow the operation.

Still running.

Sahhely remains Trade Mar's operations partner, keeping the systems in production and adjusting them as the operation changes. The finance team works from approved rows instead of loose sheets.
